Trainee in the ETF Communication Unit

The Unit

The traineeship is within the ETF Communication Unit, which provides support to all ETF communication activities and coordinates them on all levels, whether they are corporate, departmental or individual.

The ETF Communication Unit provides common strategies and guidelines for ETF corporate communication and the tools to strengthen and develop ETF communications with the outside world and with each other. Its mission being to produce and disseminate high quality information, both online and printed, on key ETF issues to a wide audience comprising policymakers, partners and practitioners.

Namely, information is provided on ETF activities contributing actively to the international debate on human capital development by disseminating ETF work, activities and results in events, conferences and media in the EU and partner countries, as well as at the international level.
ETF's information and communication services and activities include publications, periodicals, internet, intranet, audiovisual products, media, corporate conferences, meetings and events.

Learning objectives

At the end of the traineeship, the trainee should:

  • have hands-on experience on event organisation in connexion with high profile experts and familiarity with the use of an event management system;
  • be familiar with the different tasks to be executed in the ETF Communication Unit;
  • have hands-on experience in working in an international organisation;
  • have put into practice knowledge and skills developed during his/her studies, and in particular in his/her specific areas of competence.

Traineeship description

The trainee will assist the communication manager, the web manager and the events manager and will be involved in communication and events activities, including providing support for the preparations for an ETF event to be held in December 2010. The trainee will also be involved in drafting, proofreading and editing publications, contributions for social media and the ETF’s website and intranet.


Under the supervision of the Communication Manager, who will be his/her tutor, the successful trainee will carry out the following activities:

  • Supporting the preparations and promotion of the ETF event to be held in Brussels in December 2010;
  • Assisting in the preparation of presentations, articles, letters and contributions for social media;
  • Supporting the update of multilingual content on the website: publications, homepage news, events, newsletter, media releases etc.;
  • Selecting, editing and uploading images and audiovisual content;
  • Contributing to the ETF Communication Unit’s general activities and projects.

Eligibility Criteria

To be eligible, applicants must satisfy the following requirements by the closing date for the submission of applications:

  1. Be a national of an EU Member State or ETF partner country or territory1. Priority will be given to applicants coming from ETF partner countries.
  2. Enjoy full rights as a citizen;
  3. Have recently graduated at post-secondary or at university level or are about to graduate in a relevant field and who are required to undertake a period of work experience as an integral part of their course;
  4. Have very good2 knowledge of English, the main working language at the ETF in order for the trainee to fully profit from the internship and to be able to follow meetings and perform adequately;
  5. Neither having already benefited or benefit from any kind of internship or in-service training (formal or informal, paid or unpaid) within a European institution or body,
  6. Nor having had or have any kind of employment within a European institution, body or agency, including anyone who is or has been working as an interim staff member, intra-muros consultant or expert.

Selection criteria


  • Familiarity with the main issues of communication, events and social media;
  • Good knowledge of the Office pack (Word, Excel, PowerPoint), Internet tools, social media;
  • Fluency in English with good3 writing skills.

  • Good team working skills.

  • Knowledge in graphic design tools.

Selection Procedure

The selection procedure will be carried out in two phases:

Phase 1 – screening of eligibility and selection criteria

  • Candidates will be assessed according to compliance with the eligibility criteria.
  • The selection assessment board will then consider the competences of eligible applicants on the basis of the CV provided and invite the most suitable candidates to the second phase.
  • Candidates selected for the second phase will be notified via email.

Phase 2 – interviews
  • Candidates short-listed will then be called for a phone interview with the selection assessment board
  • Interviews are expected to take place in June 2010 and will be held in English.

Upon completion of the assessment phase, a list of the most suitable candidates will be proposed to the Director by the selection assessment board. The successful candidate will then be appointed by the Director.

Maintenance Grant

  • The monthly grant awarded to a trainee is EUR 1, 000 net
  • Travel expenses incurred in order to take up their duties from and back to their place of residence are reimbursed upon provision of the relevant travel documents.
  • Visa and ‘Permesso di soggiorno’ related administrative expenses are reimbursed upon provision of the related supporting documents.

Submission of applications

Candidates are invited to send their applications via the ETF website.

The reference number related to the traineeship must be clearly quoted in the documentation submitted, i.e. ETF/TRA/10/01.

The following documents must be provided in English:

  • A typed motivation letter of no more than one page, explaining why the candidate is interested in this specific traineeship and what her/his added value would be to the ETF if selected;
  • A curriculum vitae using the Europass CV format, available on the ETF website (other formats will not be considered);
  • The form named ‘Declaration of Honour form’ available on the ETF website;
  • At least two articles/blogs published (no more than 5 pages in total).

Please note that only applications submitted online through the ETF website and using the Europass CV format will be accepted.

If any one of the formal requirements or eligibility criteria above is not met, the application will not progress any further.

The closing date for the submission of applications is 3rd May 2010 at 23.59 (Central European Time). Due to the high volume of applications, only applicants short-listed for interview will be contacted further.
